Hello. We paid our VAT for Q2 in time via Wise Europe, but HMRC can’t find and assign the transferred money. The reason is that only the name of our company was transferred and not the VAT number. We tried to clarify the issue on the phone, gave the employee all the information requested – except the account-number of Wise which we don’t have. We tried twice (Mid-September and Mid-October) to send proving documents via registered mail. But the shipment tracking says, it couldn’t be delivered and is now waiting to get picked up. We wrote to the following addresses: 1. BT VAT HM Revenue and CustomsBX91WR BX91WR United Kingdom 2. Solicitor’s Office and Legal Services HMCR BX9 1ZT United Kingdom These addresses have been named in the letter about the penalties and online at this web site: https://www.gov.uk/government/organisations/hm-revenue-customs/contact/vat-enquiries Why is there no one catching up our registered mail? We sent a normal letter, too, hoping this one will be delivered as it should be. How can we make sure that our documents to prove our payment are received and properly registered by HMRC to solve the issue? Honestly this is causing a lot of damage and it seems to be impossible to solve this via all normal ways HRMC is giving us. It’s an awful situation. We’re receiving a lot of unjustified penalties. And we cannot pay again as it will probably be even harder to get the money back as there is ABSOLUTELY NO CHANNEL to talk or write to someone who is able to help us. How can we make sure that our documents to prove our payment are received and properly registered by HMRC to solve the issue? Best Regards

In order to complete a trace on the payment then the letter should  be sent to:

BT VAT
HM Revenue and Customs
BX9 1WR
United Kingdom.

In order to appeal against any penalties you have received then you can either contact our Helpline on 03002003700(overseas +44 2920 501 261) or write to the following address:

Solicitor’s Office and Legal Services
HMRC
BX9 1ZT

You can also appeal any penalties via your Business Tax Account.

Hello. As you could read in our threat, we already tried ALL the options you proposed in your answer. To look for any possibility to appeal directly online via our Business Tax Account was the first step we took, but didn’t find any. Maybe this service was turned off? In "messages", there is only listed, that we don't have any, but there isn't a possibility to write and send one ourself. Anyways, we need a CONCRETE CONTACT MODALITY so we can make sure our proving and explanatory documents are received in order to solve the issue. Thanks.

You can appeal in writing against penalties you have received by writing to:

As regards the payment you have made and the evidence you have to confirm the payment you could speak with the Corporate Treasury Team directly on 03000 518 141

Hi Admin 25, AGAIN: We already DID CALL the number you gave us, they couldn’t our wouldn’t help on the phone. We already WROTE to the Solicitor’s Office and Legal Services – TWICE! Our registered Mail was neither received nor picked up afterwards – TWICE! Maybe – MAYBE – our normal letter was received. How long is the processing time until we get notice of whether our documents have been seen and the unjustified penalties will be annulated? Can we get an email contact? Maybe directly mailed to us, if you don’t want to publish this in the forum for everyone? Thanks.

There is no email address I can provide unfortunately. You would need to wait for this to be processed.Once processed HMRC will then be in contact.

Hi Admin 32, you say we have to wait for this to be processed... how long does it normaly take for HMRC to process a request and get in contact? While processing, will there be new penalties? Thank you.

There is no definitive timesale but HMRC will be treating this urgently.
I would recommend speaking to our Debt Management Team in the meantime on 03002003830 so that they can put a note on the file regarding this,
If you do receive any penalties then this can be appealed on the basis that the payment was made on time but the wrong payment reference was used.
